For New York Businesses, keeping accurate employee time records is crucial. New York law requires employers to keep time records and collect this information every day. Because of this harsh regulation, New York business owners often ask me, “Must I have a time clock for my business?”
I’m Bill Elkins (VP of Sales) with Baron Payroll. It can be confusing and stressful to figure out how to keep employees time records for your business. You want something easy and accurate that complies with the New York law.
You also want time records that are easy to retrieve and produce even years later for terminated employees. And you also want something that creates the payroll input for your hourly workers every time you do payroll.
So, do you need a physical time clock mounted on your wall? Not necessarily. The time clock is just a collection device. The key element you need is software so you can maintain electronic time-keeping records.
There are many different types of collection devices that will electronically populate our cloud-based time-keeping software. A physical time clock is just one of these collection methods.
Another collection method is for employees to use their smartphones. These days everyone has a smartphone. I know what you’re thinking. If they use their smartphone what stops them from clocking in from home before getting to work? The answer is our built-in GPS locator.
Every time an employee punches in, the location where they punched from is pinned on a map so you can see exactly where they were when they punched in.
Is this 100% foolproof? Unfortunately, no. But it’s an effective deterrent, and it’s easy for you to see all their punches for the week on a map. Using a smartphone with our APP is a great way to create electronic time records.
There is no equipment to buy and it’s an easy way to get started and improve your (timekeeping) compliance. If your New Year’s resolution is to reduce your risk, get better HR, and improve your compliance, then using the mobile APP and keeping electronic time records is a great way to start.
